About the firm
Virtus Law LLP (“Virtus”) is a successor firm to “Arthur Loke LLP” which was established in Singapore in 1981. Virtus is in a formal law alliance (“FLA”) with Stephenson Harwood LLP established in March 2014 counting 36 people, including 8 partners.

The FLA is an arrangement between a Singapore law practice (SLP) and a foreign law practice (FLP) which enables us to collaborate while remaining two freestanding law firms.

Team structure
The alliance accounts team currently compromises of a team of seven staff – five for SH and two for VL. The respective teams are responsible for the processing and integrity of information relating to; purchase ledger; credit control; cashiering; billing and the preparation of daily, weekly and monthly reports.

Main responsibilities
We are currently seeking for an Accounts Assistant. Preferable to have prior experience working in Singapore law firms.

Assist with day-to-day financial operations:

Process accounts payable and accounts receivable transactions accurately and timely.
Maintain accurate records of financial transactions, including invoices, payments, and receipts.
Prepare and process employee expense reimbursements.
Assist with bank reconciliations and monitor bank account balances.
Manage client accounts, ensuring accurate recording of client funds and disbursements.
Work closely with fee earners, staff, and clients to address financial inquiries and provide assistance as needed.
Support billing and invoicing processes:

Preparing billings and liaising with secretaries and fee earners on client requirements or queries on paperless proforma, update charge-out rates, write off etc.
Management of bill amendments, issuance, and reversals.
Process WIP and Invoice write offs and the transfer of time between non-billable and billable matters.
Perform general accounting tasks:

Assisting with the management of cashflow requirements for the office
Providing ad hoc support to the Senior accounts executive / Office Manager
Attributes/Skills required

The successful candidate will be:

Experienced in a similar role, ideally within a professional services environment
Experience in using Aderant, or similar PMS systems will be preferred
Strong organizational and time management abilities to handle multiple tasks and meet deadlines
Effective communication skills, both written and verbal
Proactive problem-solving skills and a willingness to learn and adapt to new challenges
Strong organizational skills
Attention to detail
Ability to work both independently and collaboratively
Proficient in Microsoft Office
