Job Description:
• Be proactive in identifying priorities. emergencies and important issues in connection with the day-to-day business needs and ensure VPs are kept informed of urgent tasks and priorities
• Organise tasks, schedule, arrange and manage VPs daily agenda/calendar on Outlook
• Organise and coordinate meetings for re-occurring appointments/meetings, regional HR sharing meetings, conference calls, interviews, sending out of invites, booking of meeting rooms and meeting facilities.
• Coordinate travel arrangements such as air tickets and hotels booking, filling of travel expense forms, follow-up out of pocket expenses and transmission to the accounting department
• Follow up, maintain and submit promptly re—occurring reports e.g. monthly reports, statistical data, organisational charts, meeting/briefing minutes and briefings
• Meet, organise, liaise and set up visiting or orientation schedules as well as be point of contact for visitors, including partners. vendors. internal customers and candidates
• Handle all incoming calls. emails and requests in the absence of the VPs
• Track, anticipate and prepare upcoming Human Resources (HR) and Learning &Talent Development (L&TD) related events such as annual performance appraisals, talent ranking, Accelerated Leadership Program, and if necessary, remind stakeholders of actions required

• Degree
• 3 years of experiences as a Personal Assistant in HR-related field
